Fees & Payment

MindWell Psychology is a private-pay, out-of-network practice. This page exists so you can understand exactly what to expect — what sessions cost, how payment works, whether out-of-network reimbursement is an option, and why this structure tends to better serve the kind of client the practice was built for.

Session Fees

The current fee structure is transparent and is reviewed annually:

  • Individual psychotherapy session (50 minutes) — please contact the office for current rate
  • Couples therapy session (75 minutes) — please contact the office for current rate
  • Initial intake (60–75 minutes) — please contact the office for current rate
  • Adult ADHD assessment — fee depends on scope; quoted before scheduling

Current rates are discussed openly during the initial fifteen-minute consultation. There are no surprise fees. There are no separate charges for brief check-in calls or routine email correspondence between sessions.

A note on transparency. Specific session rates are not published online because the fee structure is reviewed regularly and because the right number to share depends on the type of work you’re seeking. Rates are shared promptly during the free consultation so you can make a clear decision without committing to anything.

Why Private-Pay?

The decision to operate as a private-pay practice is not a financial one — it is a clinical one. There are real, well-documented limitations on what insurance-based psychotherapy can deliver:

  • Privacy. Insurance companies require a formal mental health diagnosis to authorize each session. That diagnosis becomes part of your permanent medical record and is sometimes accessible to other parties. Private pay protects against that exposure.
  • Continuity. Insurance networks routinely cap the number of sessions a clinician can deliver, regardless of whether the work is complete. Private pay allows treatment to proceed at the depth the work actually requires.
  • Clinical depth. Insurance reimbursement is set at a rate that quietly forces most providers to keep caseloads very high. This pace does not allow for the kind of careful, individualized work that complex presentations actually need.
  • Treatment choice. Insurance often dictates which therapy modalities are covered. Private pay allows the clinical approach to be chosen based on what is actually best for you, not what gets approved.

Out-of-Network Reimbursement

Many MindWell clients use their out-of-network mental health benefits and receive meaningful partial reimbursement. The practice provides a detailed monthly superbill — a single document containing all the information your insurer requires to process reimbursement.

To find out what your specific plan reimburses, you can call the member services number on the back of your insurance card and ask:

  • Do I have out-of-network outpatient mental health benefits?
  • What is my out-of-network deductible, and how much of it have I already met this year?
  • What percentage of the “usual and customary” rate do you reimburse for CPT codes 90834 (individual therapy) and 90847 (couples/family therapy)?
  • How do I submit a superbill for reimbursement?

Most well-funded employer plans reimburse a meaningful percentage of out-of-network mental health care, particularly once the deductible is met. The math often makes private-pay care significantly less expensive than it first appears.

Payment Methods

The practice accepts:

  • Credit and debit cards (including HSA and FSA cards)
  • Bank transfer / ACH

Payment is processed at the time of each session via a secure HIPAA-compliant platform.

Cancellation Policy

The practice requires 48 hours’ notice for any cancellation or schedule change. Sessions cancelled with less than 48 hours’ notice are billed at the full session rate. This policy exists because most session times are held weekly and cannot be filled on short notice. Insurance does not reimburse cancellation fees.

No Surprises Act

Under the federal No Surprises Act, you are entitled to a Good Faith Estimate of expected charges for your care, which is provided in writing before treatment begins.
